Veylo brings your entire operational workflow into one connected, automated system. From generating quotes to completing jobs and getting paid, every step is simple, fast, and fully trackable.
1. Create a Quote
Quotes are the starting point for most jobs. Veylo makes the quoting process fast and flexible:
- Use Quick Create Customer if the customer isn’t already in your list — perfect for door-to-door sales or fast lead entry.
- Choose items from your Pricebook.
- If a pricebook item includes add-on or upgrade options, customers will see those options and can accept or decline.
- Add Terms, Notes, Discounts, and Convenience Fees.
- Turn on:
- Online Payment Option
- Collect Deposit (if required)
- When ready, click Email.
The customer receives a link where they can accept, decline, or request changes.
Customer Reminders & Approvals
- Customers automatically receive reminders for pending quotes.
- Once a quote is approved:
- Team Leads and Business Admins receive notifications.
- If a deposit was required:
- An Invoice is generated automatically.
- The customer receives it instantly.
- Admins and Team Leads get notified once the deposit is paid.
2. Convert Quote to Job
With one click, an approved quote can be converted into a Job.
- Job Title and decription gets set as per Quote but can be modified.
- Set Job Type and Priority.
- You can fill out and custom fields set by the Admin, attach a Checklist or make the Job Recurring (if required).
- Jobs can have multiple team members assigned and optionally add Estimated Time.
- Set Due Date and Start and End Times manually or using the Calendar designed to find an open spot easily.
- Schedule View also exists with multiple calendar views and especially the schedule view to drag and drop unassigned tasks.
- You can also add a label to group similar Jobs together and filtered using Group By option.
3. Assign & Complete the Job
Once a job is created, you can assign one or more team members.
Team Members can:
- Add pictures
- Fill out checklists
- Complete any custom fields
- Request purchases
- Add comments or notes
- Update job status to Complete or On Hold
Veylo also supports auto-logging hours, ensuring time is tracked accurately without manual entry.
Approval by Team Lead
After team members complete the job, a Team Lead can review and approve it.
4. Invoice the Customer
Once the job is approved:
- Go back to the quote and click Email Balance Invoice.
- If a deposit was collected, the system updates the original invoice.
- If no deposit exists or no invoice is linked, a new invoice is created automatically.
- Add additional Pricebook items if required.
- Click Email to send the invoice.
Customers receive a link with online payment options.
Admins and Team Leads get notified once the invoice is paid.
5. Get Paid, Automatically Tracked
Every payment is automatically recorded:
- Customer pays online via the invoice link.
- Payment status updates instantly.
- Notifications are sent to Business Admins and Team Leads.
